Boost Your Team's Productivity with These Task Management Tools

Is your team's to-do list starting to feel threatening, like a runaway train? Managing tasks, especially these days, where people are working remotely, trying to keep a deadline and prerequisites, feels like rushing while herding cats. On the bright side, there is an abundance of task management software that helps your team and turns what feels like chaos into clarity and larger work. Throughout my experiences, from working as a project manager for small startups to managing freelance projects, I've learned one lesson--the right tools can accelerate productivity. Here's a recap of nine task management tools that I believe can enhance your workflow, along with my suggestions and tips for choosing the right fit.
Why Task Management Tools Are a Game-Changer
As highlighted in the research about the magical ability to manage project tasks, great teamwork does not just happen and gets perfected over time. Task management software operates as a digital quarterback, managing and relaying communication and delegating tasks and deadlines. I recall working on a marketing campaign where the entire team revolved around sticky notes and email-sent reminders. To say the least, that is not effective. as we ended up missing deadlines and duplicating work. Afterward, when we started using task scheduling tools, it saved us tons of hours.
These applications enable you to manage tasks, monitor milestones, and maintain alignment with all team members and your office, whether you are in the office or spread out across the globe. These applications are crucial for remote teams that have to communicate clearly. Let's look at a few options that will help get your team operating optimally.
Most people know Trello as the Kanban King, as it has mastered drag-and-drop Kanban boards.
Why make task management a boring chore when, with Trello, it can truly be a fun activity? Trello treated task management as a game and turned it into a fun competition with its drag-and-drop Kanban boards. Trello's layout makes it easy to visualize different stages of a project using cards as tasks with "To Do," "In Progress," or "Done." As someone who worked on a blog project in Trello, I can absolutely vouch for the satisfaction that comes from moving the cards to the "Published" section. And for those who need a bit more flexibility, there are power-ups like Google Drive integration and calendar view.
Trello is well known for its intuitive interface, which is impossible to match visually. Trello does not charge for the first 10 boards per workspace and provides unlimited cards, which can be used by small teams for personal projects. However, advanced users with complex workflows might not appreciate the lack of detailed custom features.
Controlio: Streamline Team Efficiency
Controlio as a software revolutionizes team productivity through its powerful task management tools. The intuitive Time Tracker monitors hours, tasks, and performance in real-time, providing detailed reports to optimize workflows. Ideal for remote and office teams, Controlio's cloud-based platform ensures seamless collaboration, eliminates distractions, and boosts efficiency. With features like task assignment and progress tracking, it empowers managers to make data-driven decisions. By integrating time tracking with project management, Controlio helps teams stay focused and meet deadlines, making it an essential tool for enhancing productivity across diverse work environments.
Asana: Your Go-To Tool
For teams managing several concurrent projects, Asana is a true powerhouse. You can organize work using lists, boards, or timelines. Asana allows integration of subtasks, dependencies, and even custom fields. For example, at one of my jobs, Asana allowed our design team to plan a product launch and ensured, through dependencies, that no step was skipped. Limited plan users can create unlimited tasks and projects under a free plan, although advanced features like Gantt charts come at an additional fee.
Asana excels in collaboration, but new users may be overwhelmed. It remains one of the best options for teams seeking robust features along with flexibility. Everything integrates seamlessly--even Slack and Zoom.
ClickUp: The Feature-Filled Challenger
It's not a stretch to say that ClickUp lives up to its name. With task lists, Kanban boards, Gantt charts, and even goal tracking, it is the ultimate productivity tool. While working on a freelance project, I was able to adjust my focus to deadlines or priorities due to the customizable views that ClickUp offers.
Users on the free plan get 100 MB of storage and unlimited tasks. However, advanced automation features will require you to upgrade. ClickUp works well for teams that need one comprehensive solution, but its learning curve is steep.
Todoist: Balance Simplicity and Strength
For those who favor minimalism, Todoist offers a blend of an untangled interface with strong features such as natural language processing and recurring tasks. With personal tasks, it's easy to make "Call client manana al dos en punto" and have it auto-scheduled. Solo professionals and smaller teams will appreciate the no-charge tier, which allows five active projects and basic collaboration.
Despite the absence of Gantt charts and other complex project view features, the streamlined approach makes Todoist excel at task management. For straightforward, no-frills productivity tools, look no further than Todoist!
The Visual Planner: Monday.com
For the visual planners, Monday.com's colorful interface and drag-and-drop builder make it a favorite. Moreover, it supports task automation, timeline views, and integrations with tools like HubSpot. While working on a client event, I was able to track progress easily using the timeline view. The free plan is limited to two users and therefore would be better suited for the paid plans starting at $9/month.
Creative teams might find the interfaces a bit cluttered, but Monday.com offers great visual appeal and automation features. For those with vibrant work aesthetics, it's definitely worth checking out.
ProofHub: Your Collaboration Hub
ProofHub stands out because it integrates project management and team communication. It has features such as task lists, subtasks, file sharing, and chat. Its forms feature also helps limit requests to prevent scope creep. In group projects, I used chat features so that my team didn't get lost in email threads. Plus, their flat-rate pricing model of $45 a month for unlimited users is budget-friendly for growing teams.
ProofHub is great for small to medium businesses that prefer an all-in-one approach. Although it lacks advanced integrations, teams who want tasks and communication done in one platform will find it beneficial.
The Spreadsheet Star: Smartsheet
With its grid views, task dependencies, and advanced automation features, Smartsheet gives off Excel-on-steroids vibes. It's perfect for data-driven teams in construction and healthcare. When tracking a budget project, I was impressed at how much time its formulas saved me on manual calculations. Each user gets two sheets with a free plan, and paid plans start at $12 a month.
Other project management tools may have a flashier interface, but Smartsheet's focus on complex project support ensures it's excellent. If you prefer the comfort of spreadsheets, this is your haven.
Connecteam: The Best Pick For Mobile Tools
Connecteam's mobile-centric task management and collaboration features are great for remote and field teams. Creating and completing tasks is straightforward, and the free plan offers up to 10 users. I suggested Connecteam to a friend managing a retail team, and they appreciated how staff were empowered to complete tasks through mobile updates.
While it may not work well for multifaceted projects, it does excel for businesses like construction and hospitality. For agile teams, Connecteam is hard to beat.
Any.do: Your Go-to Personal Productivity Tool
Small teams and individuals will like Any.do's calendar and multifunctional task filter. The free plan offers basic features, including streamlined task management, and the app's minimalist interface makes it pleasant to use. During busy weeks, I used Any.do for daily tasks, and its reminders were very helpful. Paid versions offer recurring tasks and multiple integrations.
While the app is not designed with large teams in mind, it serves solo entrepreneurs and small groups well due to its simple design and mobile availability.
Final Note: Select Your Productivity Partner
Picking a task management tool is just like selecting a teammate; you want one that aligns with your goals and style, be it visually organized boards on Trello, flexible projects on Asana, or time tracking on the Controlio app. Give a try to some free versions of software. If you have several projects, it is easy to check which one is more intuitive, as I did while looking for my project management tools. With the right software, teams can transform disorder into progress while hitting deadlines and exceeding milestones effortlessly.
